SAP Business One: Food One Solution Optimizes Business and Compliance Processes for Castle Importing, Inc.

Softengine augmented the core functionality in SAP Business One to create Sales Order and Purchase Order Guides, basically catalogs of items designed to streamline the ordering process between Castle Importing and its business partners (customers and vendors). When the Order Guides feature is opened, the user can choose to view all Order Guides in the system By Customer or By Vendor. If By Customer, for example, Castle staff can view the purchase history of any customer, including information such as the last price paid and quantity ordered for a particular item. Also included is a Customer-Specific Item Number, which provides information unique to a particular customer, including a complete bill of materials (BOM) plus any special instructions regarding preferred delivery times, packaging, shipping and much more, which is invaluable when a customer is on the phone.

> A great time-saving benefit of the Order Guides is that Castle Importing can use information from previous sales orders or purchase orders and either simply copy or make changes to then instantly generate new sales orders or purchase orders.

Sales Order and Purchase Order Validation Tools Eliminate Unnecessary Duplication

On occasion, an order comes into Castle Importing containing a purchase order number that already exists in the system. Since duplication of purchase order or sales order numbers can cause unwanted complications for Castle, its customers and vendors, Softengine was summoned to modify the solution so that it would automatically send a warning whenever this condition arises. As a result, if the system detects a duplicate number, it generates an error message that the same purchase order or invoice could be posted twice. This alert gives staff an opportunity to go back and double-check why the number was duplicated and take corrective action.

Sky's the Limit with SAP Business One and Softengine

Leaving behind the manual systems they had relied upon for so many years wasn't easy, but Rosangela Borruso has seen the light. "I don't like change or surprises and I had a lot of resistance at first to totally revamping our business systems," said Borruso. "But now that we have been live with SAP Business One 'Food One' for some time, our ability to track everything in our complex production processes down to the smallest detail has saved us so much time and money! From the initial purchase order to production to invoicing and shipping, this solution pulls everything together. Plus, our financial information is always up to date and accessible in real time, so we never have to wait for nightly or weekly postings. In fact, this solution is so powerful, we have barely scratched the surface on all of its capabilities." (continued...)
